Yaanam Admin is operated by Yugam International School for school staff who manage transport. Your school owns the records managed here; Yaanam stores and processes them on the school's behalf. We do not sell your data and we do not use it for advertising.
What we collect
- Your mobile number and name — to log you in.
- Information you enter about the school's students, staff, routes, stops, vehicles and trips.
- Documents you upload to verify staff and vehicles — for example identity documents, driving licences and vehicle papers (KYC).
Your responsibility for others' data
Through this app you handle the personal data of other people — students, guardians and staff, including sensitive verification documents. You agree to enter and use this data only for legitimate school-transport purposes, to keep it accurate, and to follow your school's data-protection obligations. The school is the owner (“controller”) of this data.
Why we use it
To log you in securely and let you manage students, staff, routes, vehicles, trips, complaints, and the documents required to run school transport safely and lawfully.
Who can see it
- School data is visible to your school's authorised staff, by role.
- Guardians see only their own child's information.
- We never share this data with third parties for their own use. We use trusted providers — cloud hosting, push notifications and maps/routing — only to run the service.
Sensitive documents
Verification documents — identity documents, licences and vehicle papers — are stored to meet the safety and legal requirements for school transport, are access-controlled, and are retained for the period required by law and school policy.
Children's data
Information about children is entered and owned by the school, and kept under the school's policy and applicable law. This app is used by adults only.
How long we keep it
We keep data while your school uses Yaanam. Operational records and verification documents may be retained for a reasonable period for safety, audit and legal reasons even after a person's account is closed, then deleted.
Your rights and deletion
You can request deletion of your own account and personal data at any time; see the account deletion page linked below. We remove your login and personal profile. Records and documents owned by the school, and data we must keep by law, are retained as described above.
Security
Data travels over encrypted connections and access is limited by role. No system is perfectly secure, but we take reasonable steps to protect your data.
Changes to this policy
We may update this policy. The effective date at the top of this page will change, and we may ask you to accept the policy again in the app.
