This policy applies to the Yugam School website and to every digital service the school operates, including our learning management system, the school transport tracking application, and any online sale of school items such as uniforms, books or materials. It explains what we collect, why, how long we keep it, and the choices you have.
Who We Are
Yugam International School, Kanpur, Uttar Pradesh, India is the data fiduciary responsible for the personal data described in this policy. Questions and requests can be sent to the contact address at the end of this page.
Information We Collect
Depending on which of our services you use, we may collect:
- Student and parent details — name, date of birth, gender, photograph, relationship to the student
- Contact information — address, phone number, email address
- Admission and enrolment information, including previous school records
- Academic records — attendance, assessments, report cards and progress data
- Learning management system activity — lessons accessed, assignments submitted, marks, and time spent on coursework
- School transport data — the pick-up and drop-off point, and the vehicle location while a child is travelling on a school bus
- Order and delivery details when school items are purchased online
- Payment records — the amount, date and status of a transaction
- Website and application usage information, including device and browser data
How We Use Information
We use the information we collect to:
- Process admissions and manage student enrolment
- Deliver teaching, assessment and academic reporting
- Operate the learning management system and track academic progress
- Run school transport safely, and let parents see the status of their child’s bus
- Fulfil orders for school items and handle delivery and support
- Communicate with parents about academics, events, fees and emergencies
- Meet legal, regulatory and CBSE affiliation obligations
- Maintain the security of our systems and improve our services
Children’s Data and Parental Consent
Most of the data we hold relates to children. Accounts for students under 18 are opened by the school or by a parent or lawful guardian, and consent for processing a child’s data is obtained from that parent or guardian. We do not use children’s data for advertising, and we do not sell it. A parent may withdraw consent by contacting the school, though some records must be retained where law or CBSE regulation requires it.
School Transport and Location Data
Where the school transport service is used, the location of the school vehicle is processed during the journey so that the school and the child’s parent can confirm safe pick-up and drop-off. This is used for safety and route management only. It is visible to the child’s own parent or guardian and to authorised school staff — never to other parents. Location data is not used to build a profile of a child’s movements outside school transport, and it is retained only for the short period described below.
Payments
Online payments are processed by a third-party payment gateway. Card numbers, UPI credentials, CVV and net-banking passwords are entered on the gateway’s systems and are never collected or stored by the school. We retain only the transaction reference, amount, date and status needed for accounting and receipts.
Information Sharing
Yugam School does not sell personal information. We share it only in these circumstances:
- With service providers who operate our systems on our behalf — hosting, the learning platform, transport tracking, payment processing and communication tools — under an obligation to protect it and use it only for the service they provide
- With CBSE, examination bodies and education authorities where affiliation or law requires it
- Where required by law, court order, or to protect the safety of a student or another person
- With a parent or lawful guardian, in respect of their own child
Data Retention
We keep personal data only as long as it is needed:
- Academic and enrolment records — for the period required by CBSE and applicable education regulations
- Learning management system activity — while the student is enrolled, and for a reasonable period afterwards for academic reference
- School transport location data — retained briefly for safety and route verification, then deleted
- Payment and accounting records — for the period required by tax and financial law
- Enquiry form submissions — until the enquiry is closed, and for a reasonable follow-up period
Data Protection
We apply administrative and technical safeguards appropriate to the sensitivity of the data, including access controls that limit staff to the records they need, encryption of data in transit, and restricted access to our systems. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your Rights
Subject to applicable Indian data protection law, a parent, guardian or eligible student may:
- Request access to the personal data we hold about them or their child
- Ask us to correct information that is inaccurate, incomplete or out of date
- Request erasure of data we are not legally required to retain
- Withdraw consent for processing that relies on consent
- Raise a grievance about how their data has been handled
Cookies and Analytics
Our website uses privacy-friendly analytics to understand aggregate traffic patterns. We do not use advertising cookies and we do not track visitors across other websites.
Changes to This Policy
We may update this policy as our services change or as the law requires. The date at the top of this page shows when it was last revised, and material changes will be communicated to parents through our usual channels.
